How to run a Credit Card (Billing Analysts)

This process will run a Billing Analyst through processing a credit card on an invoiced and open order.

If an invoice is already generated, follow the below steps:

  1. Go to Cash Receipts by CC
  2. Enter Customer # → then click on Next
  3. Under the Action column, toggle any invoices that are to be paid. At bottom of screen, you will see the # of invoices and amount being paid.
  4. Click on Make Payment → click on +Add
    1. If there is a card on file, click on the drop down menu under Account # and choose the card you want to use.
    2. If there is not a card on file, you will need to enter the card information. Click on + Maintain Credit Card + Add. Enter the following information only.
      1. Credit Card #
      2. Card Holder (Name on card)
      3. Expiry Date
      4. CVC code
    3. Click on Save
    4. Exit out of the 2 open windows
    5. Go back to + Add and choose the card you want to charge → Save
    6. Click on Submit Payments
    7. Click on Yes

If the customer is paying for an order before it has been invoiced, follow the below steps:

  1. Go to Record Cash Receipts
  2. Enter SC (Stripe Clearing) under Bank Account
  3. In the Receipt Note box enter SC, Dollar Amount, Center Location, Customer Name and Number. (ex. SC $500.00 OD Aldine ISD 137872)c
  4. Under Control Total – enter amount to be charged on credit card.
  5. Click on + Add Payment
    1. Customer: Enter your customer #
    2. Deposit Amount: Enter the amount to be charged to credit card
    3. Payment Type: Click on drop down menu and choose credit card
      1. If there is a card on file, click on the drop down menu under Account # and choose the card you want to use.
      2. If there is not a card on file, you will need to enter the card information. Click on + Maintain Credit Card + Add. Enter the following information only.
        1. Credit Card #
        2. Card Holder (Name on card)
        3. Expiry Date
        4. CVC code
      3. Click on Save
      4. Exit out of the 2 open windows
      5. Go back to Account # and choose the card you want to charge from the drop down menu
    4. Payment Ref: enter info in this field
    5. Save
    6. Prepay: Create Unapplied, Prepay or Memo amount
    7. A/R Amount Type: Click on Deposit
    8. Description: enter quote # (Reference #) here
    9. Amount: enter amount to be charged
    10. Reference Order #: Enter the reference # that payment will be tied to
    11. Save
    12. Commit This Payment
    13. Finish Receipt Batch
    14. Go to Stripe Processing website, find the payment you just processed and email it to yourself and/or the customer.
  • If invoice has been paid with a credit card that was attached to the CC term order and a claim matched to the original order has been issued:
    • When the claim is invoiced, it should automatically refund the credit card that was used.
  • Prepayments received on an open order:
    • If the entire order has been cancelled, go to stripe and refund the money.
    • Then do an invoice entry under account SC (Stripe Clearing) to wash out the prepayment on account.
    • Go to Record Cash Receipt and apply open payment to invoice entry to wash out.
