This process will run a Billing Analyst through processing a credit card on an invoiced and open order.
Invoiced Order Needing Payment?
If an invoice is already generated, follow the below steps:
- Go to Cash Receipts by CC
- Enter Customer # → then click on Next
- Under the Action column, toggle any invoices that are to be paid. At bottom of screen, you will see the # of invoices and amount being paid.
- Click on Make Payment → click on +Add
- If there is a card on file, click on the drop down menu under Account # and choose the card you want to use.
- If there is not a card on file, you will need to enter the card information. Click on + Maintain Credit Card → + Add. Enter the following information only.
- Credit Card #
- Card Holder (Name on card)
- Expiry Date
- CVC code
- Click on Save
- Exit out of the 2 open windows
- Go back to + Add and choose the card you want to charge → Save
- Click on Submit Payments
- Click on Yes
If the customer is paying for an order before it has been invoiced, follow the below steps:
- Go to Record Cash Receipts
- Enter SC (Stripe Clearing) under Bank Account
- In the Receipt Note box enter SC, Dollar Amount, Center Location, Customer Name and Number. (ex. SC $500.00 OD Aldine ISD 137872)c
- Under Control Total – enter amount to be charged on credit card.
- Click on + Add Payment
- Customer: Enter your customer #
- Deposit Amount: Enter the amount to be charged to credit card
- Payment Type: Click on drop down menu and choose credit card
- If there is a card on file, click on the drop down menu under Account # and choose the card you want to use.
- If there is not a card on file, you will need to enter the card information. Click on + Maintain Credit Card → + Add. Enter the following information only.
- Credit Card #
- Card Holder (Name on card)
- Expiry Date
- CVC code
- Click on Save
- Exit out of the 2 open windows
- Go back to Account # and choose the card you want to charge from the drop down menu
- Payment Ref: enter info in this field
- Save
- Prepay: Create Unapplied, Prepay or Memo amount
- A/R Amount Type: Click on Deposit
- Description: enter quote # (Reference #) here
- Amount: enter amount to be charged
- Reference Order #: Enter the reference # that payment will be tied to
- Save
- Commit This Payment
- Finish Receipt Batch
- Go to Stripe Processing website, find the payment you just processed and email it to yourself and/or the customer.
- If invoice has been paid with a credit card that was attached to the CC term order and a claim matched to the original order has been issued:
- When the claim is invoiced, it should automatically refund the credit card that was used.
- Prepayments received on an open order:
- If the entire order has been cancelled, go to stripe and refund the money.
- Then do an invoice entry under account SC (Stripe Clearing) to wash out the prepayment on account.
- Go to Record Cash Receipt and apply open payment to invoice entry to wash out.
