How to release a quote

Once a quote is ready, release it to begin processing.

It is recommended to start all orders as a quote*. This gives a permanent record of the original order. Once you are ready to release the quote, follow these steps:

Reminder: If you need to make any changes to the order/quote, please edit the quote through Edit Existing Orders prior to converting this to an order. (This includes updating the customers PO#)

  1. Launch Release Open Quotes.
  2. Type in the Customer Number or Quote Number.
  3. Click Search.
  4. Locate the order and click the Check Mark ☑️ in the far left column.
  5. Select the order type from the dropdown that you are converting this to. (Options that we should be using are; ORDER, CUSTOM, & DROP.
  6. Next we can select the box that states Release & Auto-finish or leave it unchecked.
    1. If checked, the quote will release and go through the Review & Complete process automatically, taking you to the email screen so you can send the order confirmation to your customer or toggle it off. This will save you a couple of clicks.
      1. Click Release.
      2. A box will pop up asking if you are sure you want to release the quote. Select Yes. 
      3. The order is NOT completed yet. This brings us to the verify screen. Click Verify.
      4. Click Complete Order.
    2. If unchecked, the order will release as usual, requiring you to go through Review & Complete to finish the order manually. 
      1. Click Release.
      2. A box will pop up asking if you are sure you want to release the quote. Select Yes. 
      3. This pulls the quote to the style entry tab. From here you would select Review & Complete, and this will pull to the Review order. 
      4. Click on Verify Order.
      5. Click Complete Order
      6. Finish This Order, sending a confirmation email if necessary. 
  7. Your quote is now converted to an order.

*The only exception to not starting an order as a quote is for CUSTOM orders. If the customer needs the PDF confirmation to say QUOTE then start it as a quote. If not, you can enter the custom order directly.
